Join the European Canoeing Exchange Network

Follow the steps to become a member of EuroSport Experience and start participating in discipline-based international exchanges through EuroKayak Experience.

1. Expression of Interest

The first step is to complete the application form.

After submitting the form, the organization will send a follow-up document that includes guidelines, useful links, and tasks to help the club progress through the next stages and become part of the EuroSport Experience Association and the EuroKayak Experience exchange network

Additionally, EuroSport Experience normally schedules a short online meeting with each club. This helps us get to know each other, explain the process in more detail, and understand the club’s goals and context.

In this document, clubs provide:

  • Basic contact details
  • A short explanation of their motivation to join the network

Once received, the EuroSport Experience team will evaluate the application and verify that the club meets the eligibility requirements for participation.

If approved, the club will be invited to become a member of the EuroSport Experience Association and join the EuroKayak Experience exchange network.

⚠️ Note: Joining the network does not automatically guarantee Erasmus+ funding. It means that EuroSport Experience will begin managing your application once the collaboration is formalized.

2. Membership and Partnership

EuroKayak Experience is developed within the EuroSport Experience Association. For this reason, clubs wishing to participate in the exchange network must first become members of the association.

Membership is not linked to a single exchange or project. Instead, it provides long-term access to the EuroSport Experience ecosystem, including discipline-based exchange networks, future Erasmus+ opportunities and other initiatives developed by the association.

By becoming a member, clubs join a growing European community committed to cooperation, learning and international development through sport.

Membership includes a one-time contribution of €500, which supports the development, coordination and long-term sustainability of the association and its networks.

No recurring membership fees apply while the club remains a member of the association.

Once membership is confirmed, clubs can proceed with the formal registration process and begin preparing future Erasmus+ projects with the support of EuroSport Experience.

3. Formalization of Registration

After the Expression of Interest application has been approved by the EuroSport Experience Association, the club must formalize its registration by completing the registration form and making the corresponding membership contribution.

Once this step has been completed, EuroSport Experience will request the documentation required to proceed with the club’s integration into the exchange network and to manage future Erasmus+ funding applications on its behalf.

During this stage, the collaboration between the club and EuroSport Experience is formally established. The objective is to ensure that all administrative, legal and organisational requirements are properly in place before beginning the preparation of future Erasmus+ projects and exchange activities.

Some of the documents required are:

  • A signed collaboration contract
  • Proof of the membership contribution
  • The club’s VAT or equivalent tax number
  • The club’s constitution or registration certificate
  • A list of the Board of Directors
  • The ID of the club’s legal representative

Many clubs do not already have a PIC (Participant Identification Code), which is required for participation in Erasmus+ projects. As part of the services provided to members of the EuroSport Experience Association, EuroSport Experience will manage the PIC registration process at no additional cost and guide the club through each step.

After the online meeting, clubs will receive a secure link where they can upload all the required documentation. This link will be included in the follow-up document provided by EuroSport Experience.

Once all documentation has been reviewed, the club will receive the documents confirming the formal partnership with EuroSport Experience, together with the PIC-related details.

4. Erasmus+ Grant Application

Once the club has completed its registration and integration into the network, EuroSport Experience begins the Erasmus+ project preparation process.

Our team will take care of:

  • Preparing the full Erasmus+ application
  • Submitting all necessary documents
  • Handling communications with the National Agency

This support ensures the club can access EU funds to participate in international exchanges within the Eurokayak Experience framework.

5. Deadlines and Submissions

Deadlines may vary depending on the exchange cycle and Erasmus+ submission calendar. Clubs are encouraged to join the network as early as possible to maximise their participation opportunities.

The Erasmus+ Youth programme has two annual deadlines for submitting mobility project proposals:

  • One in February
  • Another in October

EuroSport Experience works to apply as early as possible. If a project is not approved in the first round, we will continue reapplying in future calls to secure participation.


Once accepted into the network, clubs will be informed of upcoming Erasmus+ opportunities, exchange cycles and project deadlines.
